FAQs

We are continually updating this FAQs. If you encounter a problem which the solution cannot be found in either the Registration Guide or FAQs, please email us at events@aseactivesports.com with the following information:

  1. Your Account ID
  2. Description of the problem
  3. Screenshot(s) of the problem
  4. Details involved in the problem
    E.g. athlete’s name, athlete’s birth date, team name, division, etc

As our online registration system is based in the US, there is a 12-hour time difference. For problems which require the assistance of the system programmers, please exercise patience while we attend to your problem as fast as we can. Thank you for your understanding.

Participants & Staff

There are 2 ways to fix it.

Request Change Via Email
Email us at events@aseactivesports.com to request to correct the typo error. Please provide your account ID and the name of the participant and the correct information it should be changed to. There is a processing fee per item changed.

Delete Participant/Coach
This is not recommended if the Participant has been registered to a competition. To check if Participant has been registered, go to Participants-[under Record against the Participant's name]-Open. If Participant has been registered, you will see a list of the teams the Participant is registered with. If not, the record will contain just basic information of the Participant.

If Participant has not been registered, delete the Participants (Participants-Delete) and re-enter the Participant (Participants - Add Participants -  One at a Time) into your system again.

If you insist on deleting the Participant even if s/he has been registered, you can do so by

  1. Deleting the team(s) the Participant is registered to under Events;
  2. Remove the Participant from the team(s) under Teams;
  3. Delete Participant (Participants - Delete);
  4. Add the Participant (Participants - Add Participants -  One at a Time);
  5. Add Participant to team(s) under Teams (Teams - [Members] Add);
  6. Go to Events to import the team(s) to register for competition.

Note: If you deleting the team(s) from Events and re-registering the team(s) in a different registration phase you originally registered, the members in the team(s) will be charged the competition fees applicable to the registration phase you re-registered them for.

The system will set the athlete's grade based on their birth date. You can edit your athlete's grade by Participants - [against athlete's name] Update - Grade [Select from drop down list]

The system recognizes athletes registered under different accounts as the same athletes by matching their First Name, Last Name, Gender and Birth Date.

Please check if the abovementioned information is the same under both accounts. An additional space or punctuation mark (e.g. Tan Xiaoming vs Tan Xiao Ming, Lee Meiling vs Lee Mei-Ling) will make the names different, and therefore determined by system to be different athletes.

The system recognizes coaches registered under different accounts as the same athletes by matching their First Name, Last Name, Gender and Birth Date.

Please check if the abovementioned information is the same under both accounts. An additional space or punctuation mark (e.g. Tan Xiaoming vs Tan Xiao Ming, Lee Meiling vs Lee Mei-Ling) will make the names different, and therefore determined by system to be different athletes.

Teams & Events

Create two similar teams with same name, same participants (athletes, alternates and coaches). Register each team to the division you want.
Common issues for this problem:
  1. Ineligible Athletes
    Check the age and gender of your participants if they are eligible for the division. If you have an athlete that is in a grade that is normally for students aged older/younger, please go to Participants – Update (against the Participant Name) and change the grade of the Participant.
  2. Team Size
    Do you have the minimum number of athletes required by the division? Did you add more alternates than what is allowed for the division?
  3. Participant Status
    On the home page of “Teams”/"Events", click on the “View or Delete” button under “View Members”. Check if you have members marked. Marked athletes are considered alternates and do not count towards the team size.

Once a Team is registered to an event, any changes you make to the Team under “Teams” will no longer be reflected in the same Team you register to the “Event”.

Think of the Team you created under “Teams” as a draft. When you register the draft Team to an event, that registered Team becomes the final Team. If you are making changes to your roster, you will need to edit the roster to the Team under “Events”. You can update the draft Team under “Teams” separately.

To register your team, please click on “Events” from the main menu. Click on the “Go!” button against the event you want to register your team for. From the drop down list at “IMPORT a Team :”, select your team and click “IMPORT Team”
  1. Go to Events - [the competition] Go!
  2. Click on the "Event Roster" tab
  3. Click "Import Participants or Staff"
  4. Select the athlete/coach you want to import and click "Save"
  5. Click on "Team Competition" tab to add your athlete/coach.

Release and Waiver Form

After you have registered your participants to the event, you are required to send the waiver to your participants. They will receive the waiver in their email you have keyed in under “Parent Email”. Your participant or participant’s parent (for participants aged 17 and below at the point of registration) can follow the instructions in the email to view and submit the waiver electronically online. Once they have submitted the waiver form, you will be able to view it under the “Participants” page (the date of submission can be seen under "Wavr Rec'd").

Firstly make sure you have keyed in the ParentEmail for each Participant. For 18 years and above, please key in the Participant's personal email and below 18 years old, their parent's email.

Under “Participants”, click on “Send Waiver” to send the Participant Agreement to the Parent Email of a particular participant or click on “Send All Waivers” to send to all participants. Once you have sent out the Participant Agreement, the sent date will be reflected under the “Wavr Sent” column.

When your participants have submitted the waiver form, the date of submission will be reflected under the “Wavr Rec’d” column under “Participants”.
Please check the spam folder. Re-send the Release and Waiver Form again by clicking "Send Waiver" under "Participants". If the participant did not receive it, email us at events@aseactivesports.com
  1. Ensure that you have keyed in a common email address (e.g. your company email) for all the Participants Parent Email.
  2. Go to Events – [Select Event] Go! – Docs, Reports & Results – [Under Documents Related to this Event] Blank Waiver Form Download the Blank Waiver Form
  3. Print out the Blank Waiver Form to pass to the athletes/athlete's parents to fill in; or Send the Blank Waiver Form to the athletes/athlete's parents to fill in
  4. Send the link to complete the waiver online by going to Participants - Send All Waivers OR Send Waivers. You should receive the link in the email account you keyed in for Parent Email
  5. When you have received the completed Waiver Form, click on the link from the email and complete the Waiver Form submission by filling in the information provided on the completed Blank Waiver Forms and submit.
  6. Keep the completed Blank Waiver Forms as your reference.
